1. Scope of this policy

This policy applies to the website at mohsinmirza.buzz, to any message you send to our ledger office, and to the personal and business information we handle while providing account keeping services. It covers information about individuals as well as the business records of the firms we serve. It does not cover the practices of any third party website or service that you may reach from a link on our pages, and it does not replace any separate written agreement that you sign with Mohsinmirza LLC when you engage us.

Where a client firm provides us with information about its own employees, customers or suppliers, that firm remains responsible for having the right to share that information with us. We handle such information only as the firm instructs and only for the purposes described in our engagement, and this policy explains the standards we apply while doing so.

2. Who we are

Mohsinmirza LLC is an account keeping practice serving professional, scientific and technical services firms. Our ledger office is located at 511 Canal Rd, Mount Sinai - 11766-3301, United States (US). The developer name associated with this practice is Mohsin Mirza. You can reach us by email at billing@mohsinmirza.buzz or by telephone at +16075772165.

We are a small practice by design. The same desk that answers your questions maintains your record, and the person who keeps your book is the person you can telephone when something needs explaining. This closeness shapes our approach to privacy: fewer people touch your information, and each of them is accountable for the standard set out below.

3. Information we collect

The information we collect depends on how you interact with us. We aim to collect only what is needed to answer a question, to keep a book or to run our website, and to leave everything else untouched. The categories are set out below.

Information you give us directly

Information collected automatically

Information we create while working

We do not seek sensitive categories of personal information, and we do not ask for information about health, beliefs, political opinions or similar matters. If such information arrives unrequested, we handle it with the same care as all other information and delete it when it is no longer needed.

4. How we collect information

Most information reaches us because you choose to send it. You may use the contact form on our website, write to billing@mohsinmirza.buzz, telephone +16075772165, or post documents to our ledger office. When you engage us, documents may also arrive in the ordinary course of the service, for example an invoice forwarded for posting or a statement shared at reconciliation time.

A smaller amount of information is collected automatically when a page is served, as described above. We do not buy personal information from data brokers, we do not enrich your details from outside sources, and we do not build profiles of visitors for advertising. Any information we hold about you came from you or from the work you have asked us to do.

5. Lawful basis for processing

Where privacy law requires a lawful basis for handling personal information, we rely on the following grounds. We handle information to perform a contract when you engage us and we need to keep your book. We rely on legitimate interests when we maintain the security of our website, keep our own business records, and respond to enquiries that have not yet become engagements. We rely on your consent where you have clearly given it, such as when you ask us to share information with an adviser of your choosing. We also handle information to comply with legal obligations that apply to us as a business.

Where we rely on consent you may withdraw it at any time by writing to us. Withdrawing consent does not affect the handling that took place before you withdrew it, and it does not affect handling that rests on another lawful basis, such as keeping a record we are required to keep.

6. How we use information

We use information to provide the account keeping services you request, to answer your questions, to keep our own business records in order, and to run and protect our website. In practice this means posting entries to your ledger, raising and matching invoices and receipts, reconciling accounts, preparing payroll schedules, folding quarterly summaries, and archiving records in a form you can reach.

We also use information to communicate with you about your book, to send the occasional notice such as the opening of our winter ledger reviews, and to improve the clarity of our website and our service. We do not sell your information, we do not rent it, and we do not use it to build advertising audiences or to send marketing unrelated to the services you have asked about.

Where we use information for our own legitimate business purposes, such as reviewing how well a month was kept, we limit ourselves to what is necessary and we keep the review internal. Information is not repurposed for a new purpose without telling you and, where the law requires it, without obtaining your consent.

7. Accounting and client records

Account keeping involves handling records that belong to your firm and that may contain information about individuals, including employees on a payroll and contacts at a customer or supplier. We handle these records as a custodian rather than as an owner. We use them only to perform the service you have engaged, we keep them in the order your engagement describes, and we do not disclose them except as you direct or as the law requires.

Where a client firm asks us to work with an auditor, a tax adviser or a lender, we share only the parts of the record that are needed for that purpose and only after the firm has authorised the sharing. We keep a note of what was shared and when, so that the firm can always see who has seen what.

Because a book kept honestly in another firm keeping belongs to that firm, we return your records in full whenever you ask, and we hand over the whole archive if you ever leave us. We do not treat your records as leverage and we do not withhold them to resolve a disagreement about fees. If a dispute about fees arises, the dispute is resolved separately and the record still travels with you.

8. Cookies and similar tools

Our website is deliberately simple and does not use advertising cookies. We may use a small number of essential cookies or similar technical tools to keep the site working, to remember a basic preference such as whether the navigation is open, and to protect the site from misuse. These tools do not track you across other websites and they are not used to build a profile of your interests.

Most browsers allow you to control cookies through their settings, and you may block or delete them if you prefer. Blocking essential cookies may affect how parts of the site behave, but it will not prevent you from reading our pages or from contacting us by email or telephone.

9. Sharing and disclosure

We share information only in a narrow set of circumstances. We share it with you, because it is your book. We share it with an adviser, auditor or lender when you ask us to and when you have authorised the sharing. We share it with service providers who help us run the practice, as described in the next section. We share it when the law requires it, for example in response to a valid legal request, and we share it where necessary to protect the rights, safety or property of Mohsinmirza LLC, our clients or the public.

We do not sell information, we do not trade it, and we do not hand it to advertisers or data brokers. If the practice were ever to be reorganised or transferred, client records would move only with the firm that owns them, and we would give notice so that a firm could choose where its record should go.

10. Service providers

We rely on a small number of service providers for ordinary business functions, such as email delivery, document storage and website hosting. These providers handle information only on our instructions and only to the extent needed to perform their function. We choose providers who apply reasonable security standards and who do not use our information for their own marketing.

Where a provider processes information on our behalf, we expect it to keep the information confidential, to protect it against unauthorised access, and to delete or return it when the engagement ends. We do not permit a provider to repurpose information for its own commercial purposes, and we review the arrangement if the nature of a provider service changes.

11. Retention of information

We keep information for as long as it is needed for the purpose it was collected, and then we remove it. Records connected to a client book are kept for the period agreed in the engagement and for any further period that law or prudent practice requires. Enquiries that do not become engagements are kept only for as long as is useful to answer them and to keep a short record of the correspondence.

Where a retention period ends we delete or securely destroy the information, or we remove the identifying details so that it can no longer be linked to a person. Because archiving is one of our six services, retention is something we plan deliberately rather than leave to chance, and a client can always ask what period applies to a particular category of record.

12. How we protect information

We protect information with a combination of practical measures suited to a small practice. Access is limited to the people who need it to do the work. Documents are held in storage that requires authentication to reach, and paper records are kept in a locked place at our ledger office. Communications are sent over secure connections where the technology allows, and we discourage the sending of sensitive material by unsecured means.

No method of storage or transmission is perfectly secure, and we do not claim otherwise. What we promise is that we take reasonable steps, that we keep those steps under review, and that if we ever became aware of a breach affecting your information we would tell you promptly and describe plainly what had happened and what we were doing about it.

13. Your privacy rights

Depending on where you live, you may have rights over the personal information we hold about you. These commonly include the right to be told what we hold, the right to receive a copy, the right to have inaccurate information corrected, the right to have information deleted in certain circumstances, the right to object to or restrict certain handling, and the right to withdraw consent where consent is the basis for handling.

To exercise a right, write to billing@mohsinmirza.buzz and describe what you would like us to do. We will confirm that we have received your request, check your identity so that we do not release information to the wrong person, and respond within the period the applicable law allows. We do not charge for a reasonable request, and we will explain clearly if a request cannot be met in full and why.

14. Privacy for children

Our website and our services are intended for businesses and for adults acting in a business capacity. They are not directed at children, and we do not knowingly collect personal information from children. If you believe that a child has provided information to us, please write to billing@mohsinmirza.buzz so that we can locate and remove it.

Where a client firm provides records that happen to contain information about a minor, for example in a payroll or a dependant record, we handle that information under the firm instructions and under the retention plan agreed with the firm, and we do not use it for any purpose of our own.

16. International transfers

We are based in the United States, and the information we hold is generally kept in the United States. Where a service provider stores information in another country, we take reasonable steps to ensure that the information continues to receive protection consistent with this policy and with applicable law, for example through contractual terms that require confidentiality and security.

If you are writing to us from outside the United States, you understand that your message and any information it contains will be handled in the United States, where the practice keeps its ledger office at 511 Canal Rd, Mount Sinai - 11766-3301, United States (US).

17. Changes to this policy

We may update this policy from time to time to reflect a change in our practice, in the services we offer, or in the law. When we make a material change we will update the effective date at the top of the page and, where the change is significant, we will tell active clients directly. We encourage you to read this page occasionally so that you always know how we handle information.

Continuing to use our website or our services after a change takes effect means that you accept the updated policy. If you do not accept a change, you are welcome to contact us to discuss it, and you may end an engagement at the close of any month as provided in our terms of service.

18. How to contact us

If you have a question about this policy, a request about your information, or a concern about how we have handled it, please write to us. We take every question seriously and we answer in the order the post arrives.

Thank you for reading to the end. A firm that understands how its information is handled is a firm we can serve well, and we would rather explain a point twice than have a client guess.
